Terms & Conditions

Welcome to Filmdock Productions (a trading name of Palmer Videos Ltd, Company Number: 13407342; referred to as “we,” “our,” or “us”). These Terms and Conditions govern all bookings, scriptwriting, video production, post-production, and media delivery services provided via filmdock.net.

By paying a deposit or booking a production slot with us, you (“the Client”) agree to be legally bound by the terms outlined below.

1. Bookings, Payments & Surcharges

• Deposit: A non-refundable deposit of 25% of the total package price is required to secure your filming date and initiate pre-production services (including scriptwriting and location sourcing).
• Final Balance: The remaining balance of your package price must be paid in full no later than 1 working day prior to the scheduled shoot date.
• Weekend & Bank Holiday Rates: Standard package prices apply to weekday shoots (Monday to Friday). Bookings scheduled on weekends or UK Bank Holidays incur an additional 20% surcharge above the standard package price.

2. Cancellations & Rescheduling

• No Cancellations: Once a booking is confirmed and pre-production has begun, bookings cannot be cancelled for a refund of the deposit.
• Rescheduling Notice: You may reschedule your shoot date free of charge if you give us at least 1 month’s advance notice.
• Short-Notice Rescheduling Fee: Rescheduling requests made with less than 1 month’s notice will incur a rescheduling fee. The exact fee depends on your specific package and scene count; full tier details are published in our website FAQ section.

3. Scriptwriting & Pre-Production

• Bespoke Scripts: Scriptwriting is fully customized. Following a consultation with our writer (Matt), scripts are developed based on mutually agreed ideas.
• Script Revisions & Rewrites: Minor adjustments (e.g., tweaking individual dialogue lines) are included at no extra cost. Complete changes of mind requiring a brand-new script draft will incur a script rewriting fee, as detailed in our FAQ.
• Client Modifications: Clients are welcome to refine dialogue themselves, but any modified script must be reviewed and approved by Filmdock prior to shooting to prevent scene length or complexity from exceeding production limits.
• Client-Supplied Scripts: Clients may supply their own scripts provided they hold the legal rights to use them. Supplied scripts remain subject to Filmdock’s review to confirm suitability for a showreel and compatibility with the booked package.

4. Filming Day & Schedule Adherence

• Punctuality: Filmdock provides a designated arrival window. If a client arrives late, filming will proceed within the remaining allocated time where possible.
• Overtime Fee: If delays caused by the client push filming past the scheduled booking duration, an overtime fee will apply (refer to FAQ for exact hourly rates).
• Non-Attendance (No-Show): If a client fails to attend a scheduled shoot without prior notice, the booking is forfeited. Rebooking will require a new full-price booking, as cast, crew, and resources have already been allocated. Concessions may be considered solely for reusing previously written scripts.
• Weather Policy: Outdoor filming generally continues in light rain or overcast conditions, which often adds production value. In the event of severe, unsafe weather, filming will pause until conditions pass.
• Production Delays: If filming is interrupted due to a fault on our end (e.g., crew lateness or technical equipment failure), Filmdock will extend the shoot on the day at no charge or offer a free reschedule date.

5. Post-Production, Edits & Delivery

• Delivery Timeframe: Final edited files are delivered within 10 working days (2 weeks) of the shoot date via digital transfer, unless a different seasonal lead time (e.g., during the Christmas period) is advised prior to booking.
• Delivery Formats: Individual standalone scenes are delivered in 4K resolution; full edited showreels combining multiple scenes are delivered in 1080p.
• Standard Revisions: Packages include 1 round of re-edits. Fine-tuning the requested changes from that initial round is completed at no extra charge. Subsequent new edit requests or creative directional changes after approval are billed at £40 per hour.
• Individual/Actor-Favored Cuts: Filmdock edits scenes for optimal dramatic balance between all actors on screen. If an individual actor requires a separate custom cut tailored specifically to favor their screen time, this can be provided for an additional fee of £30–£40 per scene (depending on package tier, see FAQ).

6. Intellectual Property, Raw Footage & Usage Rights

• Client Usage Rights: Upon receipt of final payment, Clients are granted a non-exclusive, worldwide, perpetual license to use completed showreels and scenes for professional promotion, actor casting directories (e.g., Spotlight, StarNow), personal websites, and social media.
• Promotional Rights for Filmdock: Filmdock Productions retains the right to display finished scenes, showreels, festival edits, and behind-the-scenes footage on filmdock.net, social media platforms, and internal promotional showreels for portfolio and marketing purposes.
• Raw Footage (Rushes): All raw camera footage, unedited audio files, and project assets remain the exclusive legal property of Palmer Videos Ltd. To maintain strict quality control and manage data storage overheads, unedited raw rushes are not released to clients.
• Alternative Take Proxies: Raw assets are typically archived for up to 2 years. If a client wishes to evaluate performance options for a specific section of a scene, Filmdock can export a low-resolution proxy video of alternative takes for that specific segment upon request.

7. Governing Law

These Terms and Conditions are governed by and construed in accordance with the laws of England and Wales. Any disputes arising out of or in connection with these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
